College/Department/Institute/Center Coordinator Procedures

Stage 1: After signing a student exchange program contract with a partner university

  1. According to the application conditions and quota provided by the partner universities, exchange students will be selected through the selection process announced by the college/department/institution/center.

Stage 2: Before the deadline for exchange admission applications

  1. Complete the nomination procedure for the partner university by email or paper letter.
  2. Receive all the admission application documents for exchange students, and send them to the exchange school together with the review documents (subject to the actual requirements of each partner university).
  3. Submit the list of students participating in the pre-departure information session for exchange students to the coordinator of OIA

Stage 3: After receiving the admission permit for exchange students

  1. Submit the list of exchange students through the official document to OIA
  2. Assist exchange students in their senior year and above to apply for an extension of graduation.
  3. Assist exchange students (excluding senior students and above) who are living at NTU to apply for dormitory reservations.
  4. Assist exchange students with draftee status and handle draftee applications for going abroad.
    (1) 
    Provide the list of exchange students with draftee status to the Undergraduate Academic Affairs Division/Graduate Academic Affairs Division, the Office of the Academic Affairs, and apply for the registration payment slip for the next semester.
    (2) Submit the payment slip to the exchange students, ask students to pay the fee, and complete the registration procedures for the next semester in advance.
    (3) Assist exchange students to check and attach relevant documents and complete the draftee's application for going abroad.
  5. Fill in the Student Personal Information Form and email it to the Office of International Affairs to update student information.
  6. Complete the login of exchange students going abroad in the Campus security network of the Student Safety Center.
  7. Remind exchange students to log in to the Bureau of Consular Affairs, MOFA.

Stage 4: After returning to the country after the end of the exchange period

  1. Share the exchange experience submitted by exchange students on the relevant webpage of the college/department/institution/center.
  2. After receiving the exchange student transcript sent by the partner university, transfer it to the exchange students and assist the exchange students in processing grades registration (and credit transfer).
  3. Hold exchange student experience sharing sessions to encourage other students from colleges/departments/institutions/centers to go abroad for exchange.

College/Department/Institute/Center Exchange Student Application Procedure

Stage 1: Before the application deadline for the exchange admissions of partner universities

  1. According to the application procedures announced by the college/department/institution/center, the recommended exchange student qualification will be obtained through selection.
  2. Prepare relevant documents and materials for the exchange admission application according to the requirements of the exchange university.
  3. Submit the exchange admission application documents and materials to the coordinator of the college/department/institution/center.

Stage 2: Before going abroad to exchange

  1. Obtain admission through the examination of the exchange school.
  2. NTU internal procedure:
    (1) Participate in the pre-departure briefing for exchange students organized by the Office of International Affairs. 
    (2) Application for extension of graduation for undergraduate exchange students in senior year or above.
    (3) Apply for dormitory reservations for exchange students who live in school (excluding university students above a senior year).
    (4) Exchange students with draftee status should get a payment slip from the college/department/institution/center. After paying the fees and completing the registration, attach the documents to apply for draftee applications for going abroad.
  3. Outside NTU procedure:
    (1) Apply for a visa
    (2) Book a flight
    (3) Buy travel insurance
    (4) Apply for an international student card (depending on individual needs)
    (5) Complete logging into the Bureau of Consular Affairs, MOFA.

Stage 3: After the exchange finished and returning to the home country

  1. Submit the exchange experience report to the coordinator of the college/department/institution/center.
  2. After receiving the transcript sent by the host university, apply for grades registration (and credit transfer).
  3. Participate in the exchange student experience sharing sessions held by the college/department/institution/center, and share the experience and experience of overseas exchange with other students.
